Why would we use this service?
There are two main reasons to use this service: 1) this service makes it incredibly easy for you to find Remits, EOBs, and Vouchers, 2) it will save the hospital a significant amount of money.
What is the turnaround time?
Typically your Remits, EOBs, and Vouchers will be scanned in and ready to be searched within one week from the date we receive them.
Is the data secure?
Any and all data available online is fully protected through a HIPAA compliant SSL encryption protocol. All employees will be given unique user ID’s and passwords to access the system.
How is the data backed up?
This service employs three levels of data backup:
• Data is stored securely on ProMedical’s servers
• Data is backed up daily at a secure offsite location
• Data is copied onto CDs and given to you on a monthly basis
What happens to the documents after they are scanned?
There are two options: 1) after the scanning process, the documents will be held for a period of 90 days then destroyed or, 2) they can be returned to you. There is no additional fee for either option.
Who is ProMedical?
ProMedical is the leading vendor of Workers’ Compensation and Motor Vehicle billing services in the industry. We pride ourselves on efficiency and have developed the RevScan service after years of scanning and indexing documents internally and for our hospital customers.
How does the service work?
This service was designed to be very simple for the user. There are three steps to the process: 1) fill a RevScan box and seal it, 2) call for a pickup of the box, 3) access the scanned documents via the internet. It is really just that simple.
How many pages fit in the boxes?
Each box can fit up to 2500 sheets of paper, which yields a maximum of 5000 scanned images. Current RevScan users have been averaging roughly 3200 scanned images per box.
What kind of savings can we expect?
The answer to that depends on your current process and your staff. On average a medium-sized hospital that is currently working with paper Remits, EOBs and Vouchers will find a savings of just over $450 per week, and a much happier and more efficient staff.
If you are currently paying a vendor to provide this service, you will notice that our rate is significantly lower than most other vendors. Other vendors often charge as much or more per page for scanning without any extras, such as storage of documents, access to scanned documents over the internet, backup services, or CD-based copies of documents. All of these items are included in our rate.

Are the scanned documents searchable?
Yes. Each EOB is searchable by the hospital finance batch number and hospital posting date. In addition, the batches are run through optical character recognition technology software – so any data within the documents is searchable.
Is there technical assistance available?
Yes. All aspects of the service are supported by ProMedical’s Information Technology Department, and the hospital will be assigned a Client Service Manager to oversee the account.
How does RevScan differ from other scanning services?
There are two things that separate RevScan from other vendors: 1) the RevScan process is the most user friendly service available, and 2) our pricing. The fees of competing vendors are often twice as high as RevScan’s for similar services. They frequently begin with low pricing, but then charge multiple fees for shipping, removing staples, removing paper clips, preparing the documents, making the documents searchable, indexing the data, copying data to a CD, and returning or destroying the documents. That’s complicated and expensive. So we created RevScan to be simple and cost effective.
How do documents have to be prepared?
Nothing needs to be done to the documents. Just put them in the box and call for a pickup. You will find that you are able to fit more documents in the box by removing staples, paperclips, and anything else that may make the documents thicker, but that is entirely up to you.
What kind of documents can be scanned?
Any paper document can be scanned, but we have geared this service around financial payment posting documents such as Remits, EOBs and Vouchers. We would be happy to talk to you about any other document scanning needs you may have.
Do you offer any discounts from the standard rates?
If your hospital chooses to use ProMedical for first-day workers’ compensation and motor vehicle billing services, the RevScan service will be discounted. Please contact our sales staff at sales@promedllc.com or call 800-722-1555 to discuss these options.
Can I use boxes other than the ones ProMedical provides?
Yes. If you prefer to use your own boxes, we can charge a fee per scanned image, rather than a per box fee.
